What a rent roll is
A rent roll is a snapshot of a rental portfolio: one row per unit showing who lives there, the lease dates, the rent, and the deposit held. It answers "what should be coming in each month" and is separate from a rent ledger, which records what was actually charged and paid.
What the template tracks
| Column | Use |
|---|---|
| Property, Unit, Tenant | Which unit and who occupies it. |
| Lease Start, Lease End | The lease term, so renewals and vacancies are easy to spot. |
| Monthly Rent, Rent Due Day | The scheduled rent and when it is due under the lease. |
| Security Deposit Held | The amount held. Rules on where deposits are kept and when they are returned vary by state, so check your local law. |
| Status, Notes | For example occupied, vacant, or notice given. |
Using it with a ledger
Update the rent roll when a lease starts, renews, or ends. Record each month's actual charges and payments in a rent ledger, so partial payments and late balances stay visible. The free rent ledger template is built for that.
